Terms Conditions

Effective Date: March 01st – 2024

At EONIX IT, we are committed to protecting your privacy and ensuring transparency in how we manage business, payments, communications, and project-related data. This Privacy Policy outlines how information is collected, used, stored, and managed during our engagement with clients.


1. Payment & Financial Information

Currency

All prices, fees, and charges quoted by EONIX IT are listed in United States Dollars (USD) or Australian Dollars (AUD), unless stated otherwise. Applicable taxes such as GST or other statutory duties may be applied as required by law.

Mode of Payment

Clients may process invoices using their preferred payment method, provided payments are made according to the timelines mentioned in the invoice or proposal.

For clients outside India, EONIX IT accepts:

  • International bank wire transfers

  • PayPal payments

Any transaction or processing fees charged by banks or payment gateways are the responsibility of the client.


2. Milestone & Project Payments

Milestone-based payments must be completed within five (5) working days of milestone approval unless otherwise mutually agreed in writing. All applicable payments must be cleared prior to project go-live.

Project schedules are defined based on the project commencement date. Any delay in commencement may impact delivery timelines and subsequent milestones. Timelines are also dependent on client reviews, feedback, and approvals at various stages of the SDLC (Software Development Life Cycle).


3. Acceptance of Terms

Any payment made to EONIX IT is considered confirmation and acceptance of:

  • The agreed proposal and quotation

  • Payment schedules

  • Scope of work and deliverables


4. Refund & Cancellation Policy

Refunds are assessed based on the stage of project completion at the time of cancellation:

  • Work not commenced: Up to 75% refund

  • Work commenced: Up to 50% refund

  • Work completed: No refund applicable

All cancellation requests must be submitted in writing via email or formal correspondence. Verbal or telephonic cancellation requests will not be accepted.


5. Minor or One-Time Projects

For minor or single-scope projects, full payment may be required in advance unless otherwise stated in the proposal or invoice. Any request for changes to terms must be submitted in writing within two (2) working days of receipt.


6. Late Payments & Outstanding Invoices

  • An invoice overdue by 14 days from the due date will be marked as outstanding.

  • Outstanding invoices may incur:

    • A 10% late payment fee

    • Administrative charges of $5.50 per month

If payment remains unpaid after a grace period of 7 additional days, the matter may be referred to a debt collection agency. Any associated legal, administrative, or recovery costs will be borne by the client.


7. Communication

All official communication is conducted via email. Clients are responsible for ensuring their contact details are accurate and up to date.


8. Third-Party Services

Payments for third-party services such as:

  • Domain registration & renewal

  • Hosting services

  • Plugins, licenses, or external tools

must be paid in full and in advance and are non-refundable. Cancellation requests for renewals must be submitted at least 30 days prior to the renewal date.


9. Hosting & Deployment

If third-party hosting is required, EONIX IT may temporarily host and test the project on its own servers. Final migration will occur only after all outstanding payments are cleared.


10. Intellectual Property & Portfolio Use

EONIX IT reserves the right to showcase completed projects in its portfolio, website, and partner platforms unless otherwise agreed in writing.

All documentation and communication are conducted in the English language.


11. Image Usage Policy

Purpose

This policy ensures all images used in client projects are legally sourced and compliant with copyright regulations.

Image Sources

  • Client-provided images (with confirmed usage rights)

  • Licensed images from approved stock platforms such as Freepik

Clients must confirm ownership or licensing rights for any images they provide. EONIX IT maintains records of image sources, licenses, and attributions where required.

Unauthorized image usage is strictly prohibited.


12. Data Protection & Confidentiality

All client information, documents, and project data are treated as confidential and used solely for project execution and business communication purposes.


13. Estimation & Scope

All project estimates are based on the scope defined at the time of proposal. Any changes identified during requirement analysis or wireframing may result in revised estimates, subject to client approval.

Estimates do not include:

  • Content writing

  • Data entry

  • Template creation


14. Project Closure & Deliverables

Upon project sign-off and full payment clearance:

  • Deliverables will be deployed to the client’s production environment

  • Further changes will require a new agreement

  • Source files are delivered digitally and not via physical media for security reasons


15. Policy Updates

This Privacy Policy may be updated periodically to reflect legal, operational, or regulatory changes. Updates will be published on our website.
